📄 Viewing Budgets & Expenses

For Event Creators : Event Management : Budgeting : Viewing Budgets & Expenses

Budgets are automatically created for all your Storyz and their individual events. To access them, you just need to find and select the Budget & Expenses panel:



Storyz View

The Storyz dashboard displays a link to the current budget. By selecting the "Manage" button you can access a more detailed breakdown of budgets versus actual spending.



Event View

Each event has its own Budget & expenses panel. Note that you can drag this panel anywhere in the event dashbooard for easy access. In the example below, the user moved it under their guest list in the right-hand colum.




Storyz-Level Detailed Views

In your Storyz, the budget panel leads to a summary showing overall budgeting and expenses for each event. You can see the following information:

  • Your overall budget for the Storyz
  • Your actual expenses
  • Variance between your budgeted expenses and actual expenses
  • Apply or change the budget template
  • Export options
  • Budget cards for each event





Event-Level View

The Event view shows you a summary, with the individual categories where you have created a Budgets and linked Vendor projects to your event. You can also apply a pre-built budget template, or export your current budget to an accounting or project management tool.



Category View

If you select an individual category in the event-level view, you can add, edit, and remove individual line items for your event. 



Line Items View & editing

Line items list individual expenses for the event within a category. 


Each line item for a row in the Budget category


Individual elements of the line item are editable

Line Item name

Required. Name of the line item, editable

Vendor Project link

Optional. If present a link to a Vendor Project, which can also supply the actual expense. 

Budgeted Amount

Required. This shows the estimated cost for this item in the Budget category. Editable

Actual amount

Required. This shows the actual expense. If a Vendor Project is linked, the Budget will use to agreed-on price. Otherwise, added by the user. Editable by user either in the Budget or linked Vendor Project,

Variance 

Computed automatically. Shows the difference between the budgeted amount and the actual amount. Not editable.



Line Items & Vendor Projects

Line items may be linked to Projects in the Vendor system. If you don't have Vendors yet, you can still create Vendor Projects and associate them with one or more Line Items
